DPA - Double Line Spacing in Outlook Email

Regarding the spacing for paragraphs with DPA: spacing within Word/Outlook is based on the built-in spacing set within the office application.

There are 2 ways to adjust this behavior:

 

Method 1: Create a new command

 

  • Open DPA, Click the dragon icon (right button), select ‘Manage step by step commands’
  • Create a new command called ‘New Paragraph’ with a Spoken form of New Paragraph also (this usually pre-populates when you name the command)
  • Add 2x ‘Press Hotkey’ steps, for each new step press SHIFT and ENTER at the same time to set each of the steps to this combination of keys.

 

 

Now every time you say ‘New Paragraph, DPA will press the enter key 2 times. If your default spacing in Word/Outlook is set to 1 line for a new paragraph, this command will produce the 2 lines that you require.

 

 

Method 2: Change the default spacing options within Word/Outlook

 

  • With a blank document open or an email, press CONTROL+SHIFT+S

 


 

  • Press ‘Modify’ > Press ‘Format’ > Select ‘Paragraph

 


 

  • Change the Line Spacing option to ‘Double’ > Set as Default > OK

 


 

Note: You may have to perform this action for separate windows for example, reply/reply to all/ new email, for Microsoft Word it should only be required once.

This secondary method is more complicated and is why method 1 should be tried first.
